Award Tracking

The Award Tracking module provides robust support for post-award grants and contracts management. While InfoEd’s pre-award Proposal Tracking module can record a single snapshot of award details, the Award Tracking module follows the full lifecycle from negotiation to closeout, capturing each version and adjustment along the way. Award Tracking includes deliverables tracking and subrecipient monitoring for comprehensive management of terms and conditions.

  • Award Tracking activates additional budgeting functions within the Proposal Tracking module itself, expanding upon Proposal Tracking’s standard award management capabilities.
  • New award records can be created from scratch or cloned from Proposal Development’s requested budgets. In addition, the system supports the recording of gifts of endowments that fund research, but are not part of any negotiated proposal or contract.
  • The system supports the mapping of direct cost categories to financial object codes. Budgets can be flipped back and forth between the sponsor and institutional views based on user’s role, preference, or need.
  • Each award record can have multiple versions reflecting various stages of the negotiation. All versions are stored, but only one version can be made the active award.
  • Award records can be routed for internal approvals before being activated. All approvals capture electronic signature details for an authoritative audit trail.
  • Official notices of award from the sponsor can be uploaded and stored within the award record.
  • Post award budget adjustments, including sponsor cuts and investigator initiated re-budgeting, can be logged as modifications and approved centrally or routed for departmental and financial approvals.
  • All modifications are recorded individually, but the module provides a consolidated summary view that shows the original award by category alongside the award as currently approved with the ability to drill into the history.
  • The module provides for customers to build a library of standardized terms and conditions, which can include boilerplate legal text and links to relevant regulatory websites. As necessary unique terms and conditions can be created on-the-fly and added to individual awards.
  • Award Tracking includes detailed subrecipient monitoring capabilities to support compliance with government regulations. Subcontractor performance can be recorded within individual records, but the history is stored in a central profile so that others who are working or intend to work with that entity can make informed decisions.
  • InfoEd supports the export of award details to institutional systems via InfoEd’s Financial Staging Area to streamline account establishment.
